Handling Windows account name changes

Purpose

This article outlines the required steps for users who have undergone a Windows account name change (e.g., due to a name change or role transition) to ensure continuity of access and ownership of documents and collections within the eDraws Solution.

Step 1: Reassign To-Do Documents.

If your old account is listed as the To-Do Person on any documents, you must reassign those tasks to your new account.

How to Reassign:

  1. Log in with your old account (if still accessible).
  2. Perform a Search for all documents assigned to the old Account.
  3. From the Workflow menu choose Reassign To-Do Person.
  4. Select the new Windows account for the To-Do Person.
  5. Click OK.

If you no longer have access to your old account, please contact your system administrator for assistance.

Step 2: Share Your Collections with the New Account

If you have created static collections under your old account, you must share or transfer them to your new account using the Collection Sharing Tool.

How to Share Collections:

  1. Using the old account.
  2. Launch the tool: Kinsmen.Meridian.CollectionShare.exe.
  3. On the Share Collection tab:
    • Select the static collection you want to share.
    • Click Export and save the file.
  4. Log in with your new account.
  5. Open the tool again and go to the Share Collection tab.
    • Click Import, select the exported file, and import the collection.
    • If a collection with the same name already exists, rename it before importing or edit the import file to change the CollectionName.

Note: the old Account needs to remain active for when the Collections are Exported
